Homewatch Steamboat (“Homewatch Steamboat,” “we,” “our,” “us”) provides accredited home watch services in and around Steamboat Springs, Colorado. This Privacy Policy explains what we collect, how we use it, and your choices.
 

We provide inspection and oversight services only—we are not a property management or security company.

What we do (service scope)

We perform scheduled visual inspections and report obvious issues to the homeowner. Services include plan-based visits (Standard, Plus, Premium), photo-rich reports, and à la carte options such as storm checks, contractor access/oversight, pre-arrival readiness, and emergency response.

Information we collect

1) Information you submit on our website

Contact details: name, email, phone.
 

Message content you provide (e.g., property type, timing, service interest).

Urgent flag if you check the “Urgent” box on the contact form.

Please do not include alarm passphrases or sensitive access codes in the website form. We collect those in person or via a secure channel during onboarding.
 

2) Information we collect during onboarding & service

Property details: address/city, systems of note (HVAC, water shut-offs), vendors you use.

Scheduling: service cadence, travel/absence dates.

Access information: keyholder details, lockbox location, access instructions (gathered offline or via secure channel).

Emergency contacts you designate.

Service records: visit logs, notes, and photos/videos documenting conditions or issues (limited to what’s necessary to communicate findings).
 

3) Website & device data

Technical data: IP address, browser type/version, device type, pages viewed, time on page.

Cookies/analytics: used for basic functionality and to understand site traffic. You can control cookies in your browser settings.
 

4) Payments (if applicable)

If online payment is offered, it is processed by a third-party payment processor. We do not store full card numbers.

How we use your information

Provide services: schedule/perform visits, document findings, send photo-rich reports, coordinate follow-ups you approve.

Communicate: respond to inquiries, send confirmations, scheduling updates, invoices, or service notices.

Operate our website: maintain security, diagnose issues, and improve usability.

Legal/compliance: meet tax, accounting, insurance, and other lawful requirements.

We do not sell your personal information.

When we share information

We share information only as needed to deliver services or as required by law:

  • Service providers (hosting, email/CRM, form processing, analytics, payment).

  • Vendors/contractors you authorize (e.g., supervised access for repairs).

  • Legal/insurance if needed to protect rights, comply with law, or support claims.

Recipients must handle your information appropriately and only for the intended purpose.

Keys, codes, and access

We use a controlled keyholder protocol. Keys and access details are stored separately from general contact records, restricted to personnel who need them, and removed/returned when service ends. Sensitive alarm passphrases are collected only in person or through a secure channel—not via web forms or ordinary email.

Data retention
  • Client/service records: retained for the duration of the relationship plus up to 7 years to meet tax, insurance, and recordkeeping needs.

  • Keys/access info: kept only while services are active or as needed to return keys/close out an account.

  • Website form submissions: kept as needed to respond and for routine backups.

Security

We use reasonable administrative, technical, and physical safeguards. No method of transmission or storage is 100% secure, so we limit what we collect, restrict access, and use secure channels for sensitive information.

Children’s privacy

Our site and services are intended for adults. We do not knowingly collect personal information from children under 16. If you believe a child provided us personal information, contact us and we’ll delete it.

Changes to this policy

If we make material changes, we’ll update the effective date and, where appropriate, notify you through the site or by email.
